Viele Pharmazeutische Unternehmen tun sich immer noch schwer beim Aufsetzen und Durchführen eines detaillierten Datenintegritäts-Assessment.

Dies ist verständlich, denn die Komplexität kann mitunter beträchtlich sein. Die Palette der zu analysierenden Systeme reicht von Stand Alone bis zu hochintegrierten Automatisierungssystemen und global genutzten IT-Lösungen. Dazu gehören nicht nur firmen-interne wie auch cloud-gehostete IT-, Labor- und Gerätesysteme, sondern auch Produktions-, Verpackungs- und Logistik-Systeme. Auch die Organisation und die Prozesse können Gegenstand der Untersuchung sein.

Um solch eine Landschaft hinsichtlich der Datenintegritäts-Compliance, ggf. auch noch über Länder- und Kontinent-Grenzen hinweg zu analysieren, Bedarf es neben einer guten Vorbereitung und Planung auch einer adäquaten IT Unterstützung, um den Assessment Prozess schnell, effizient und kostengünstig durchzuführen.

Zeitnahe Information über den Status der Assessment Aktivitäten – am besten in “Real-Time” – sind essentiell für den Erfolg eines solchen Projektes. Gerade das frühzeitige Erkennen von kritischen Compliance Lücken schon während des Assessments hilft dem Unternehmen schnell und effektiv zu reagieren. 

Eine Prioritätssteuerung des Assessment Prozesses und der Compliance- Wiederherstellungsmaßnahmen auf Basis der Kritikalität der Daten und Anforderungen ist, gerade bei einer Vielzahl zu untersuchenden Systemen, ein unverzichtbares Muss.

Alle, und ich meine wirklich alle Systeme und Komponenten müssen geprüft werden. Für einen Inspektor ist es nebensächlich, ob eine Systemlandschaft komplex oder einfach ist oder ob sie für die Sicherstellung der Daten Integrität eine passende Organisation und die dazugehörigen Prozesse implementiert haben. Die Datenintegrität muss unter allen Umständen auf allen Ebenen sichergestellt sein.

Am Ende des Tages wird die Behörde ihr Unternehmen, ihre Organisation, Prozesse und Systeme auf Herz und Nieren prüfen und ggf. Compliance Lücken aufdecken.

Woher ich das weiß?

Nun ich selbst war in einem der größten Pharmaunternehmen für genau solch ein Datenintegritäts-Assessment mit globalen Scope verantwortlich.

Neben einem hervorragenden Team von Fachexperten bestehend aus Vertretern der relevanten Einheiten (ua. QA, IT, OT, QC, Produktion incl. Verpackung und Logistik) und Management Support von höchster Ebene hat ich das Glück, eine IT-Lösung zur Unterstützung entwickeln lassen zu können.

Gemeinsam mit der IT-Entwicklungsabteilung erstellten wir genau für dieses Datenintegritäts-Assessment ein MVP (Minimum Viable Produkt), also eine Softwarelösung die minimalistisch, aber funktionell alle notwendigen Anforderungen erfüllte.

Die Methode, die dabei zum Einsatz kam, nenne ich die Smart Assessment Methode. Diese ist in der Lage komplexe Bewertungen abzubilden ohne dabei Flexibilität, Kontrolle und Struktur zu verlieren. 

Nach erfolgreichem Abschluss unseres globalen Assessments, habe ich die Takso GmbH gegründet, um diese Methode Unternehmen als SaaS (Cloud basierte Applikation) Lösung anzubieten. Natürlich wurde die Lösung von Grund auf neu entwickelt und verbessert, um alle Möglichkeiten einer modernen internetbasierten Lösung auszuschöpfen.

So gibt es neben einem Gap Assessment auch noch weitere Assessment Typen die in Firmen regelmäßig Anwendung finden. Doch alle Features hier aufzulisten würde den Rahmen sprengen und ist auch nicht das Ziel dieses Beitrags.

Vielmehr möchte ich sie dazu motivieren die Herausforderung eines komplexen Datenintegritäts-Assessment anzunehmen. Denn mit einer geeigneten Strategie, dem richtigen Team und der richtigen Software können sie diese Herausforderung meistern.

Accept the challenge!

Many pharmaceutical companies are still struggling to set up and perform a detailed data integrity assessment.

This is not surprising, as the complexity can sometimes be considerable. The systems to be analyzed range from stand-alone to highly integrated automation systems and globally used IT solutions. These include not only company-internal and cloud-hosted IT, laboratory and equipment systems, but also production, packaging and logistics systems. Organization and processes can also be the subject of the study.

In order to analyze such a landscape with regard to data integrity compliance, possibly even across national and continental borders, adequate IT support is required in addition to good preparation and planning in order to carry out the assessment process quickly, efficiently and cost-effectively.

Timely information about the status of the assessment activities – preferably in „real time“ – is essential for the success of such a project. Early detection of critical compliance gaps during the assessment helps the company to react quickly and effectively.

Priority control of the assessment process and compliance recovery measures based on the criticality of the data and requirements is an indispensable must, especially with a large number of systems to be examined.

All, and I mean really all systems and components must be audited. For an inspector, it is irrelevant whether a system landscape is complex or simple, or whether they have implemented a suitable organization and processes to ensure data integrity. Data integrity must be ensured at all levels under all circumstances.

At the end of the day, the inspector will put your company, organization, processes and systems through their paces and identify any compliance gaps.

How do I know that?

Well, I myself was responsible for exactly such a data integrity assessment with global scope in one of the largest pharmaceutical companies.

In addition to an outstanding team of experts consisting of representatives of the relevant units (including QA, IT, OT, QC, production incl. packaging and logistics) and top-level management support, I was fortunate to have an IT solution developed to support me.

Together with the IT development department, we created an MVP (Minimum Viable Product) for exactly this data integrity assessment, i.e. a software solution that fulfilled all necessary requirements in a minimalist but functional way.

The method that was used for this is called the Smart Assessment Method. This is able to map complex assessments without losing flexibility, control and structure.

After successful completion of our global assessment, I founded Takso GmbH to offer this method to companies as a SaaS (Cloud based application) solution. Of course, the solution was developed and improved from scratch to exploit all the possibilities of a modern internet based solution.

Besides a gap assessment, there are also other types of assessment that are regularly used in companies. But to list all features here would go beyond the scope of this article and is not the goal of this article.
